How to Switch Pool Service Software Without Losing Customers
Switching pool service software feels risky because your whole route lives in it: customers, service days, chemistry history, invoices, and saved payment methods. Customer lists and service history can usually be exported. Saved payment methods are the part that often can't move on your own, and the owners who get burned are the ones who find out on a Monday morning.
This is a practical plan for moving from one tool to another, whether you're leaving Skimmer, Jobber, a spreadsheet, or something else. It is written for owner-operators and small crews. Before you start: decide why you're switching
Write down the one or two reasons. Common ones are price growth as your route grows, a missing feature, or wanting something simpler. Your reasons become your checklist when you test the new tool. Also pick a good time. A slow week early in the month, away from heavy billing days, is easier than the middle of peak season.
Step 1: Export everything while your old account is active
Do this first, before you cancel or downgrade anything. Make a list of what you need to keep:
- Customers and service locations: names, addresses, phone numbers, emails, gate codes, and notes.
- Pools: pool type, volume, equipment, and any special instructions.
- Service history and chemistry readings, if the tool lets you export them.
- Invoices and payment records for your accounting and tax needs.
- Photos and reports, which may need a different route than the main export.
Exports differ by tool, so check what yours includes. If you're on Skimmer, its help center says you can export customer information and service history from Settings > Export. Based on Skimmer's report directory, that gives you two files:
- A customer export: a full list of customers and service locations.
- A service history export: records of completed services for a date range you choose, for all customers or one.
Skimmer's Readings report also says you can export the summary view or a single body of water's reading history, which is the place to look for chemistry readings. Skimmer also has invoice, customer statement, and payment reports. Open each one in your account and check whether it can be saved or exported in a form you can keep, because the help center doesn't spell that out for every report.
We could not find a documented bulk export of service photos in Skimmer's help center. Skimmer's help center says service photos appear on the service email reports, so don't assume they come out with the spreadsheet. If photos matter to you, ask Skimmer support how to get them before you cancel.
Whatever tool you use, open the files and confirm they look complete. Keep a copy of every file in a folder you control, with the date in the name.
Step 2: Plan for saved cards and bank details
This is the part most people underestimate. Plan to re-collect saved payment methods unless a vendor confirms otherwise in writing. Here is what we could verify:
- Skimmer's documented exports cover customers and service history, not cards. We found no help-center article describing a saved-card or bank-account export.
- Skimmer's card storage runs through Stripe. Skimmer's help center says customer payment credentials are encrypted and tokenized by Stripe. It also says you can't use your own Stripe account, because Skimmer uses a custom Connect integration with Stripe.
- Stripe can transfer card data between processors, but only through a vetted process. Stripe's documentation says it can securely transfer card data to another processor, only if that processor is PCI DSS Level 1 compliant and meets Stripe's encryption requirements. You start by contacting Stripe with the name of the new processor. The export covers customer and card details, not payment history. Payment credentials saved through Stripe Link can't be transferred.
We could not confirm whether that Stripe process is available for a Skimmer account, or whether Skimmer would request it for you. It is not a self-serve export. So a card transfer may be possible in some setups, but don't count on it, and don't promise your customers it will happen.
What to do:
- Ask both vendors directly, in writing, whether a secure card transfer is possible and what it requires.
- Assume the answer might be no. Send customers a short heads-up message with a secure link to add their payment method on the new system.
- Stagger the message across a week or two so you can answer questions without being buried.
- Keep the old system able to charge until the new one is set up for those customers.
If you're on Skimmer, its Payment Methods on File report lists payment methods on file for each customer and can be filtered by AutoPay enrollment. That is a quick way to see who you need to contact first.
A simple message works: "We're upgrading our scheduling and billing system. You'll get a link in the next few days to update your payment method. Service won't change."
Step 3: Clean your data before you import it
An import is a good time to fix old mistakes. In your spreadsheet:
- Remove customers you no longer serve.
- Fix duplicate names and misspelled addresses.
- Make sure each pool has a service day and a technician if the new tool needs them.
- Use one consistent format for phone numbers and addresses.
Bad addresses are an easy way to end up with broken routes after an import, so it's worth the few minutes.
Step 4: Import a small test batch first
Don't import all your customers on day one. Import 10 to 20 on one route and check:
- Addresses show up on the map in the right place.
- Service days and frequencies came across correctly.
- Notes and gate codes are visible to the tech on the phone.
- Invoices and reminders use the right customer details.

Step 5: Run both systems for one route week
Pick one route and run it in the new tool for a full week while the old tool stays live. Have techs complete stops in the new app. Compare:
- Did every scheduled stop appear?
- Could techs log chemistry readings without extra steps?
- Did invoices go out correctly?
- Did the tech's phone work in dead zones?
You will find small problems in a week that you would not find in a demo.
Step 6: Move the rest of your routes
Move one route at a time, not everything on the same day. Rebuild service days and tech assignments by hand if they didn't import. Tell customers when the change affects them, such as new invoice emails or a new portal.
Step 7: Keep the old account until billing settles
Don't cancel immediately. Keep the old account until:
- All routes have run in the new tool for at least a few weeks.
- Open invoices from the old system are paid or moved.
- You've downloaded a final export of everything.
Check your old vendor's cancellation terms so you don't pay for an extra billing cycle by accident, and don't cancel on the last day.
If you're on Skimmer, its FAQ says there is no pause feature. It also says that if you aren't servicing any customers, the price drops to the plan minimum ($49 a month on the Getting Started plan or $98 on Scaling Up, as of October 2026). Check Skimmer's current pricing before you rely on those numbers.
A simple switching timeline
This timeline is our own recommendation, not a vendor or industry standard. Adjust it to your route size and season.

Mistakes that cost the most
- Cancelling before exporting. Skimmer's FAQ says that after you cancel, your information remains for a time, but it can't guarantee how long. Other tools may differ, so export first.
- Assuming cards transfer. Plan for re-collecting them.
- Switching during peak season with no test route.
- Skipping the tech test. If the field app is slow or confusing, your crew will push back, and they use it all day.
FAQ
How long does it take to switch pool service software? We recommend planning on about four to five weeks if you test properly. That is our own suggestion, not a vendor or industry figure. A very small route can move faster, but a test week is still worth it.
Will I lose my service history? Not if you export it first. In Skimmer, you can export completed-service records for a date range from Settings > Export. Check whether the new tool can import history, or keep the exported files for reference.
Do customers need to do anything? Probably, for payment methods. We found no documented way to export saved cards from Skimmer, so plan on customers adding a payment method again unless your vendors confirm a secure transfer. Everything else can stay the same from their side if you plan the message well.
Can saved cards be transferred between payment processors at all? Sometimes. Stripe says it can securely transfer card data to another PCI DSS Level 1 compliant processor on request, but it is a vetted process, not a button you press. Ask both vendors what applies to your account.
Can I switch mid-month? Yes, but month start is easier for billing. Watch for invoices that straddle both systems.
